Basic Package
The marketplace has spoken and we have listened. For a great many Auction facilities,
quickly implementing a system for locating vehicles on the lot is a top priority. As you
read further, you will learn that AuctionTrac does much more than simply help locate
vehicles. However, solving this problem is a top priority that can be accomplished on a
very rapid deployment schedule. In our Basic Package, each Vehicle on the property will
be located to within approximately 20 feet. A website will be created specifically for each
auction and users will be able to see the exact location of the vehicle marked on an aerial
or satellite image of the property. Superimposed on the satellite image is a "Grid" system
to serve as a point of reference when discussing the location of the vehicle.
The Basic Package also includes a detailed IVR System for locating vehicles by phone. IVR
(Interactive Voice Response) is the same technology used by MoviePhone or by major airlines
to help travellers obtain gate and departure information on the way to the airport. When
using the AuctionTrac IVR, the caller simply enters the last 6 to 8 characters of the VIN or
the Auction's internal work order number. The IVR system then looks up the location of the
vehicle and relays Make, Model, Year, and Grid Position via a spoken message.
Printouts of the
satellite imagery, with the Grid, are made available at customer service and security offices.
In many cases, transporters, dealers, and customer service personnel keep a laminated copy
of the satellite image for quick reference. A very popular feature of the IVR is the
integration with SMS text messaging. If the caller's phone is capable of receiving text
messages, the caller can press a button before ending the call to indicate the need to receive
a "recap" via text message. When this feature is utilized, the caller receives a text message
within seconds of ending the call. This text message contains Make, Model, Year, and
Grid information
for every vehicle requested during the call.
One final piece of the Vehicle Location functionality deserves discussion. This is the
Vehicle Alert System. From time to time, someone will need to find a vehicle that has moved
since the most recent lot scan was performed. That is, the vehicle will no longer be in the
position recorded in the system. When this happens, the user simply uses AuctionTrac to
create a Vehicle Alert. In just a few mouse clicks, the user can instruct the system to send
an email or text message the next time that particular vehicle is located. This allows the user
to move on to other tasks rather than roam the lot looking for one lost vehicle.
Premium Package
The Premium Package opens up the entire scope of the AuctionTrac System. Originally conceived
as a system for helping better track labor AND vehicles, the complete suite of AuctionTrac tools
accomplishes this objective and then some.
Once the full suite of tools is deployed, Auction Management will have access and insight into
valuable labor tracking and lot flow information on a daily and weekly basis. Understanding
how vehicles move around the lot, and assessing and identifying the best and worst of the labor
force is the key to improving effectiveness across the lot and to reducing expenses in terms
of labor costs, lot damage, and theft.
With labor tracking enabled, managers will be able to view and analyze detailed reports on
topics such as: Vehicles per Driver Across Block, Vehicles per Lane, Recon Activity per Van,
Recon Activity per Driver, and Excess Sale Day Driver Hours. These reports highlight the effectiveness
and both sale and non-sale day activities and allow managers to get the most out of hourly
employees and staff contracted through labor services.
Sale Day provides one of the most measurable opportunities to reduce labor costs. In many cases,
drivers are brought in through labor providers to perform the task of driving the vehicles through
the auction arena. Without enforceable and measurable accountability, it is in the best interest of
the labor provider to use as many drivers as the auction will allow. In fact, many operations managers
are aware that more drivers than are actually needed are being deployed. They simply accept this as a
cost of doing business due to the fact that a certain number of the drivers will find ways to "disappear"
once the sale starts or be otherwise unproductive. With AuctionTrac labor tracking in place, each
driver is associated with the vehicles he drives and can be held accountable for the number of trips
he makes across the block during the sale.
Once an Auction has deployed the Basic Package and is comfortable with the technology and process, the
Premium Package can be implemented seamlessly and relatively painlessly. As a general rule, an Auction
will use the first 3 months to get all users accustomed to the system. This includes internal customer
service personnel, dealers, drive away services, and transporters. At that point, the full rollout
becomes a logical next step for auctions wishing to utilize the labor tracking aspects of the system.
